This Privacy Policy explains how SnapTrack (“the app”, “we”, “us”) handles information. SnapTrack is a tool for teachers that photographs classroom whiteboard work, transcribes it, and assesses it against a school curriculum so teachers can track student progress. It is operated by Sandy Neisler / Next Level Teacher, Queensland, Australia.
To use SnapTrack, a teacher creates a class and adds students. The app stores:
The app does not collect student surnames, dates of birth, addresses, phone numbers, email addresses, location data, or any government identifiers.
A teacher may optionally add a photo for a student — either a single photo, or by tapping a face within a class photo (faces are detected on the device using Apple’s built-in Vision framework). Any student photo is stored only on the teacher’s iPad. It is never uploaded, never sent to any AI or third-party service, and never included in exports or shared summaries. A photo is deleted when the student or class is deleted. This feature is entirely optional — students appear as coloured initials unless a teacher chooses to add a photo.
When a teacher scans work, the app accesses the device camera or photo library to capture an image of a whiteboard. That image is sent for AI analysis (see Section 3) and is not saved by the app — it is held in memory only for the duration of processing and then discarded. The app does not retain a copy of any whiteboard photo in its records.
SnapTrack offers an optional paid subscription. All purchases are processed by Apple through the App Store. We never see or store payment card details. We only receive Apple’s confirmation of whether a subscription is active.
Basic, non-personal app preferences (such as whether the introduction screens have been shown, and a monthly scan count for the free tier) are stored on the device. These contain no student information.
All class and student records are stored locally on the teacher’s iPad or iPhone using Apple’s on-device database. We do not operate a backend database, cloud account, or server that stores student records. If the teacher deletes the app, that data is removed from the device.
SnapTrack’s assessment feature relies on a small number of service providers. We share only what is necessary for the app to function, and never for advertising.
When a teacher scans work, the whiteboard image and the related question text are transmitted, over an encrypted connection, to OpenAI for transcription and assessment. Because the image is of a whiteboard, it may contain a student’s first name and their handwritten work. According to OpenAI’s API data usage policies, data submitted through their API is not used to train their models, and is retained only for a limited period for abuse monitoring before deletion. Requests to the AI service are routed through a secure relay we operate on Cloudflare. The relay exists so that API credentials are never stored inside the app. The relay passes requests through for processing and is not designed to store student data.
The app is distributed through the Apple App Store, and subscriptions are handled by Apple. Apple’s handling of your information is governed by Apple’s Privacy Policy.
SnapTrack is designed for use by teachers, not by children. Students do not create accounts, log in, or use the app themselves. Limited student information (a first name and their classwork) is entered or captured by the teacher for the legitimate educational purpose of tracking learning progress.
Teachers and schools are responsible for ensuring they have the appropriate authority and consent, under their school’s policies and applicable law (such as FERPA in the United States, the Privacy Act and the Australian Privacy Principles in Australia, or equivalent local regulations), to record and process student work using a digital tool. We act as a processor of that information on the teacher’s behalf and only for the purposes described in this policy.
Because student records live on the teacher’s device, the teacher controls retention. A teacher can delete an individual student, a whole class, or all data by removing the relevant records in the app or by deleting the app. Whiteboard photos are not retained at all. We do not hold copies of any of this data to delete on our side.
Teachers can view, edit, and delete the student information held in the app at any time directly within the app. Because we do not hold this data on a server, requests to access or delete student data should be handled by the teacher on the device. We may update this policy as the app evolves. Material changes will be reflected by updating the “Last updated” date at the top of this page. Continued use of the app after a change indicates acceptance of the revised policy.
